Understanding upgrades vs downgrades

Upgrades (going to a better plan)

Takes effect: Immediately

What happens:

  • You instantly get access to all the new plan's features
  • You're charged a pro-rated amount for the upgrade
  • The pro-rated charge covers the time remaining in your current billing cycle

Example: You're on Lite (monthly) and upgrade to Fleet Metrics on day 15 of your 30-day cycle. You'll be charged for the remaining 15 days of Fleet Metrics at the higher rate.

Downgrades (going to a cheaper plan)

Takes effect: On your next billing date (not immediately)

What happens:

  • You keep using your current plan's features until your billing cycle ends
  • On your next billing date, the downgrade happens and you're charged the lower rate
  • No refunds for the unused portion of your current billing cycle

Why the delay? We don't offer refunds for downgrades mid-cycle, so you get to use what you've already paid for.

Example: You're on Fleet Metrics and downgrade to Lite on day 10 of your 30-day cycle. You keep Fleet Metrics features until day 30, then Lite starts on day 31.

What counts as a downgrade:

  • Moving to a cheaper plan (Fleet Metrics → Lite)
  • Switching from annual to monthly billing

How to change your plan

Step 1: Go to Settings

  1. Log into Track My Ride at https://app.trackmyride.com.au (or use the mobile app)
  2. Click the Settings icon (looks like a cog/gear)

Step 2: Find Billing and Subscriptions

  1. Look for the Billing and Subscriptions section
  2. You'll see:
    • Your current plan (e.g., "Fleet Metrics - Monthly")
    • Status (Active)
    • When your current billing period ends
  3. Click Change subscription plan

Step 3: Choose billing cycle

First, decide if you want to pay monthly or annually.

Monthly billing:

  • Pay each month
  • More flexibility (easier to cancel)
  • Costs more over a year

Annual billing:

  • Pay for 12 months upfront
  • Get 2 months free (pay for 10, get 12)
  • Saves money
  • Less flexibility (12-month commitment)

Tip: The page shows "Pay yearly & get 12 months for the price of 10" - this is the annual discount.

Click Monthly or Yearly to select your preferred billing cycle.

Step 4: Choose your plan

Click Choose plan next to the plan you want.

Available plans:

  • Lite - Basic tracking
  • Fleet Metrics - Full features
  • Enterprise - Contact us for custom pricing

Not sure which plan you need? See "Which plan should I choose?" below.

Step 5: Review and confirm

A preview appears showing:

  • Your current plan
  • Your new plan
  • Any charges or credits
  • When the change takes effect

If upgrading:

  • You'll see a pro-rated charge for the upgrade
  • This is added to your current billing cycle

If downgrading:

  • You'll see when the downgrade takes effect (next billing date)
  • No charges now
  • Lower rate applies from next billing cycle

Confirm the change when you're happy with the preview.

Important information about plan changes

Grandfathered plans

What is grandfathering? If Track My Ride changes plans or pricing in the future, you'll keep your current plan and pricing (you're "grandfathered in"). This protects you from price increases.

Important:

  • You can change to a new plan any time
  • But you cannot return to your old grandfathered plan
  • Once you switch, the old plan is gone forever

Example: You're on an old "Pro" plan from 2020. Track My Ride introduces new plans in 2025. You can keep your Pro plan indefinitely, or switch to a new plan. But if you switch, you can't go back to Pro.

Should you stay on a grandfathered plan?

  • Compare features and pricing carefully
  • Old plans might have better pricing
  • New plans might have better features
  • Once you switch, you can't go back!

Pro-rated charges

What is pro-rating? When you upgrade mid-cycle, you only pay for the remaining days at the new rate.

Example:

  • You're on Lite Monthly ($20/month) for 30 days
  • On day 15, you upgrade to Fleet Metrics ($50/month)
  • You've already paid $20 for Lite for 30 days
  • For the remaining 15 days, you owe: (15/30) × $50 = $25
  • Your upgrade charge: $25
  • On day 31, you'll be charged the full $50 for the next month

Bottom line: You don't pay twice for the same period.

No refunds for downgrades

If you downgrade, we don't refund the difference for your current billing cycle.

Why? You keep access to the higher plan features until your billing cycle ends, so you're getting what you paid for.

Example:

  • You're on Fleet Metrics ($50/month)
  • On day 5, you downgrade to Lite ($20/month)
  • You keep Fleet Metrics until day 30 (what you paid for)
  • On day 31, you're charged $20 for Lite
  • No refund of $30 from the original $50

Common questions

Q: Can I change plans any time?
A: Yes! Change plans whenever you want. Upgrades happen immediately, downgrades happen at your next billing date.

Q: What happens to my data when I downgrade?
A: All your historical data stays safe. You just lose access to certain features (like advanced reports) until you upgrade again.

Q: Can I upgrade from monthly to annual billing?
A: Yes! This is an "upgrade" because annual is better value. It takes effect immediately.

Q: Can I downgrade from annual to monthly billing?
A: Yes, but this is a "downgrade" so it won't take effect until your annual period ends.

Q: What if I'm on an old grandfathered plan?
A: You can keep it forever, or switch to a new plan. But once you switch, you can't go back. Compare carefully first!

Q: Will I lose my vehicle settings if I change plans?
A: No. All vehicle settings, zones, drivers, etc. stay the same. You just gain or lose access to certain features.

Q: Can I try Fleet Metrics before committing?
A: Yes! Start with monthly billing to test it, then switch to annual later if you like it.

Q: What happens if I upgrade mid-month?
A: You're charged a pro-rated amount for the remaining days at the new rate, and you get immediate access to new features.

Q: Do I need to cancel my old plan before choosing a new one?
A: No. The system automatically handles the plan change. Just select your new plan.

Q: Can I get a refund if I downgrade?
A: No. You keep access to your current plan until the billing cycle ends (so you get what you paid for), then the downgrade happens.

Tips for choosing plans

💡 Start with monthly - If you're unsure, start with monthly billing. You can always switch to annual later to save money

💡 Compare features carefully - Make sure the plan you're switching to has everything you need

💡 Check grandfathered plans - If you're on an old plan, compare pricing and features before switching (you can't go back!)

💡 Upgrade mid-cycle - Upgrades happen immediately, so if you need features now, upgrade any time

💡 Plan downgrades - Downgrades take effect at your next billing date, so time them right

💡 Try Fleet Metrics - Most businesses need the journey and reporting features, so Fleet Metrics is usually worth it

💡 Annual = savings - If you know you'll use it for a year, annual billing saves 2 months of costs
