Complete overview of every report type and what they're used for
Track My Ride offers comprehensive reporting to help you monitor and optimise your fleet operations. From tracking individual journeys to identifying maintenance needs, these reports give you the insights you need to manage your vehicles effectively.

Understanding the reports interface
When you open the reports section, you'll see tabs across the top for different report categories. Each report has:
- Date range selector – Choose the time period you want to analyse
- Vehicle/driver filter – Select specific vehicles or "All vehicles and devices"
- Export options – Download as CSV, PDF, or Excel
- Schedule button – Set up automatic email delivery
To run any report:
- Select your date range
- Choose vehicles/drivers
- Click "Run Report"
- Use the + button next to any row for more details
Journey reports
The most commonly used report showing all trips from start to finish.
What it shows
- Start and stop times with exact locations
- Total distance and duration for each journey
- Classification as business or private
- Notes field for journey purpose
When to use:
- Creating logbooks for tax purposes
- Verifying customer visits
- Checking arrival/departure times
- Analysing route efficiency
Understanding the data
Each journey row shows:
- Vehicle name – Which vehicle made the trip
- Start/Stop times – Exact timestamps
- Duration – How long the journey took
- Distance – Kilometres travelled
- From/To – Street addresses of start/end points
- Classification – Business/Private marking
- Notes – Any added descriptions
Tip: Click the + button to see the exact route on a map and edit the classification.
Journey Summary report
Combines all journey data into totals for each vehicle or driver.
What it shows
- Total number of journeys
- Combined distance travelled
- Average journey time and distance
- Total driving time
- Top speed achieved
When to use:
- Monthly vehicle utilisation reviews
- Comparing driver performance
- Identifying underused vehicles
- Planning maintenance schedules
Key metrics explained
- Journeys – Total trips in the period
- Avg. Journey Time – Average duration per trip
- Total Journey Time – All driving time combined
- Avg. Journey Distance – Average km per trip
- Total Distance – All kilometres combined
- Speed (km/h) – Maximum speed recorded
Engine On/Off report
Tracks every time a vehicle is started and stopped.
What it shows
- Exact time engine turned on
- Exact time engine turned off
- Duration engine was running
- Location of each start/stop
When to use:
- Checking unauthorised vehicle use
- Monitoring idle time at job sites
- Verifying work start/finish times
- Investigating battery drain issues
Reading the report
Each entry shows:
- Start – When and where engine started
- Stop – When and where engine stopped
- Duration – How long engine ran
Note: Very short durations (under 1 minute) might indicate false starts or electrical issues.
Time in Zones report
Shows how long vehicles spend in your predefined zones.
What it shows
- Entry and exit times for each zone
- Total duration spent in zone
- Which vehicles entered which zones
- Frequency of zone visits
When to use:
- Monitoring time at customer sites
- Checking depot arrival/departure
- Verifying delivery durations
- Analysing site productivity
Prerequisites
Important: You must set up zones first (see zones guide) before this report will show data.
Raw GPS Data report
The technical data your tracker sends to the servers.
What it shows
- GPS coordinates (latitude/longitude)
- Recording timestamp
- Upload timestamp
- Speed and bearing
- Satellite count
- Mobile signal strength
- Ignition status
When to use:
- Troubleshooting tracking issues
- Verifying GPS accuracy
- Checking mobile coverage
- Technical diagnostics
Understanding the columns
- Recorded At – When GPS position was captured
- Uploaded At – When data reached servers
- Upload Delta – Delay between recording and upload
- Lat, Lng – GPS coordinates
- Speed – Instantaneous speed
- Bearing – Direction of travel (degrees)
- Accuracy – GPS precision in metres
- Satellites – Number of GPS satellites locked
- Voltage – Battery/power level
- Ignition – Engine on/off status
Tip: Large upload deltas indicate poor mobile coverage areas.
Zone Stocktake report
Shows current vehicle locations based on zones.
What it shows
- Which vehicles are in which zones right now
- Last known position for vehicles outside zones
- Registration numbers and vehicle names
- Time of last update
When to use:
- Quick fleet location overview
- Finding specific vehicles
- End-of-day vehicle checks
- Security monitoring
Refuelling report
Analyses fuel consumption and identifies anomalies.
How it works
- You enter refuelling records (date, litres, cost)
- System calculates average L/100km
- Report highlights unusual consumption
- Flags potential fuel card misuse
When to use:
- Monitoring fuel efficiency
- Detecting fuel theft
- Comparing vehicle consumption
- Budget tracking
Setting up refuelling tracking
To add a refuelling record:
- Go to Refuelling report
- Enter date/time of refuel
- Select vehicle
- Enter litres added
- Enter cost (optional)
- Click Save
Important: System assumes tank was filled to full each time.
Understanding the alerts
The report highlights entries where L/100km deviates significantly from average:
- Red highlight – Consumption much higher than normal
- Yellow highlight – Slightly abnormal consumption
- No highlight – Within expected range
Maintenance report
Tracks service intervals and upcoming maintenance.
What it shows
- Vehicles within 20% of service interval
- Vehicles overdue for service (10% past interval)
- Current odometer readings
- Kilometres until next service
When to use:
- Planning service bookings
- Preventive maintenance scheduling
- Warranty compliance
- Fleet maintenance budgeting
Setting maintenance intervals
To configure service intervals:
- Click Options button in report
- Select vehicle
- Enter service interval (e.g., 10,000 km)
- Save settings
Tip: Set intervals 500km before manufacturer recommendation to ensure timely servicing.
Heatmap report
Visual representation of where vehicles spend most time.
What it shows
- Colour-coded map grid
- Percentage of activity per area
- Most frequented locations
- Coverage patterns
When to use:
- Optimising delivery routes
- Identifying service gaps
- Understanding customer density
- Planning depot locations
Reading the heatmap
- Red/Orange – High activity areas
- Yellow – Moderate activity
- Blue/Green – Low activity
- Percentages – Portion of total activity
Note: Adjust grid size in options for more or less detail.
Inputs report
Monitors external devices connected to tracker.
What it shows
- When external inputs activated
- Duration of activation
- Which input channel triggered
When to use:
- Monitoring PTO (power take-off) usage
- Tracking auxiliary equipment operation
- Recording pump/crane/lift usage
- Custom sensor monitoring
Understanding inputs
Inputs activate when voltage exceeds 9V on tracker input wires:
- Input 1 – First auxiliary connection
- Input 2 – Second auxiliary connection
- Duration – How long signal was present
Utilisation report
Analyses how effectively vehicles are being used.
What it shows
- Percentage of time vehicle is used
- Active vs idle time breakdown
- Usage patterns by day/week
- Comparison between vehicles
When to use:
- Identifying underutilised vehicles
- Justifying fleet size changes
- Optimising vehicle allocation
- Cost-per-kilometre analysis
Driver History report
Tracks which drivers used which vehicles.
What it shows
- Driver login/logout times
- Vehicles driven by each driver
- Duration of driving sessions
- Total time per driver
When to use:
- Timesheet verification
- Driver performance reviews
- Incident investigations
- Compliance reporting
Note: Requires drivers to log in via app, web interface, or driver ID keyfobs.
Alert History report
Complete record of all triggered alerts.
What it shows
- Alert type and time
- Vehicle/driver involved
- Alert details (speed, location, etc.)
- Associated journey information
When to use:
- Investigating incidents
- Performance reviews
- Compliance auditing
- Trend analysis
Tracker Self Check report
Diagnostic health check for your tracking devices.
What it shows
- Power supply status
- GPS signal quality
- Mobile network connection
- Installation issues
- Fault codes and resolutions
When to use:
- Troubleshooting tracking problems
- Regular system health checks
- Post-installation verification
- Preventive maintenance
Common issues detected
- Low power – Voltage below 10V
- Poor GPS – Insufficient satellite lock
- Network issues – Weak mobile signal
- Installation problems – Loose connections
Tax Logbook report
Automated business vs private breakdown for tax purposes.
What it shows
- Percentage business use
- Percentage private use
- Total kilometres by category
- Detailed journey classification
When to use:
- End of financial year tax returns
- FBT (Fringe Benefits Tax) calculations
- Expense claims
- Audit preparation
Important: Ensure journeys are correctly classified throughout the year for accurate reporting.
Scheduled reports
Automate report delivery to your inbox.
How to schedule
- Run any report with your desired settings
- Click "Schedule" button
- Choose frequency (daily, weekly, monthly)
- Select delivery time
- Enter email addresses
- Save schedule
Available frequencies:
- Daily – Every day at chosen time
- Weekly – Specific day each week
- Monthly – Specific date each month
- Quarterly – Every three months
Tip: Schedule monthly journey summaries for easy expense tracking.
Exporting and sharing reports
All reports can be exported for external use.
Export formats
- CSV – For spreadsheet analysis
